ZSuite MESSAGING POLICY

This Messaging Policy applies to SMS and email messaging channels.   

SMS Messages: SMS messages coming from the ZSuite application are system generated and cannot be edited by administrators.   If a client would like to change message contents,  please contact the ZSoft Technologies, Inc. development team to discuss options.


Email Messages:  System generated emails cannot be edited by administrators.  However, clients can create their own email content via our email marketing tool but are fully responsible for the content of email campaigns originating from their accounts. 

ZSuite Messaging

ZSoft Technologies treats all messaging transmitted via the ZSuite platform – regardless of use case or phone number type (e.g., long code, short code, or toll-free) – as Application-to-Person (A2P) messaging. All A2P messages originating from ZSuite are subject to this Messaging Policy, which covers rules and /or prohibitions regarding:

                  • Consent ( “opt-in”)
            • Sender Identification
            • Messaging Usage
            • Revocation of Consent (“opt-out”)

This policy applies to all customers who use ZSuite messaging channels. 

Consent / Opt-in

What Is Proper Consent?

Prior to sending the first message, clients must obtain agreement from the message recipient to communicate with them – this is referred to as “consent”.  ZSuite will make clear to the user they are agreeing to receive messages regarding club related events, including enrollment and event related notifications. ZSuite will keep a record of the consent via a stored timestamp of when the user completed a sign-up flow.


All ZSuite users must give their consent to receive SMS notifications via the account creation application or, in the event an account already exists, by utilized the SMS sign-up form link located on the user dashboard.

Once Consent is Given

ZSuite will send an initial message to that individual within a reasonable period after receiving consent (or as set forth by local regulations or best practices), reconfirming their consent in the first message sent to them.

ZSuite will only send messages specific to their 4-H program. ZSuite will keep SMS contact data private and not divulge SMS contact information to any source. 


Proof of opt-in consent will be retained as set forth by local regulation or best practices after the end user opts out of receiving messages.

User Initiated Messages

SMS messages will only be sent by the ZSuite application.  Users will not be able to initiate SMS messages back to the ZSuite application.

Automatic Removal from SMS Contact List

If a user is no longer considered in 'Active' status in 4-H (expired enrollment), they will be automatically removed from the SMS contact list if they have opted-in previously.  If the user re-enrolls into 4-H, they will have to opt-in again to receive SMS messages from their 4-H organization.


Messaging Usage
ZSuite messaging will only consist of communication sms and email messages associated with 4-H programs and events.  


SMS Message Identification

Every message sent to users from ZSuite will clearly identify ZSuite, and your 4-H program, as the sender.   The message will be tagged with the following ' ZSuite - [Your County 4-H Program]: Message Content'

Opt-out

The initial message sent by ZSuite will include the following language: “Reply STOP to unsubscribe.”

Users will have the ability to revoke consent at any time by replying with the standard opt-out keyword above. When an individual opts out, ZSuite may deliver one final message to confirm that the opt-out has been processed, but no subsequent messages will be sent. A user must once again provide consent before messages will be sent.
