Creating a Custom Report with Project and Age Division Information
This report is a work around to help navigate age divisions (currently in development).
- Login to your County Admin account at https://4h.zsuite.org
- Click on orange ‘Reports’ button
- From the dropdown menu select ‘Custom Report’
- Select ‘Club Projects’ for Data Set, 4-H year = 2021-2022, and Select the project(s) you want for the report from the ‘Project Types’ drop down menu.
- Click on the Fields icon to the right.
- Click Select All box to clear the fields
- Check the boxes for the following fields. You can drag and drop to put them into the order that you want.
- First Name
- Last Name
- Date of Birth
- 4-H Age
- Grade
- Gender
- Club Name
- Type **Note This means project type **
- After you make your field selections click the ‘Apply’ button
In the sample below you will see that all of the Beef project options were selected. The report "preview" on the right has returned member names in the Beef Project and Cattle Breeding Project. The columns are organized where member first name appears first, last name and ends with type. The 1st column to the left (First Name) would be column A if the report is exported to Excel.
9. Under the 'Choose A Report' section click the orange ‘Save’ button. Title the report. If you need to come back to the report later (or add different fields), simply click the orange ‘Load’ button the file name will appear in the list.
10. From the worksheet preview area, click the ‘Export icon’. Export the report to Excel.
11. Click ‘Enable Editing’ and save the spreadsheet.
12. Add age division columns to the Report (Cloverbud, Junior, Intermediate, Senior - or what your state uses)
In the sample below from New Mexico, you can see the columns Novice, Junior and Senior were added. The age division category was noted per youth in the appropriate column. The spreadsheet was updated to include Filter functionality. Sort was set to by Type (to get all project types grouped together) then by the age divisions, then last name.
